Just how often are you forced to produce signed
dockets in order to get paid? How much time and cost is
spent in your organisation filing and retrieving signed
documentation?
The proof of delivery system has a vision of
resolving this problem in a very simple way. Document
management systems operate quite like a photocopier
where you place the items into a tray and it just reads
a batch of them one at a time. The difference being that
the document management system will store a ‘photocopy’
of the document. The physical document can then be
indexed and filed.
Then when a customer requires a copy of a docket, the
system will have indexed the docket using the customer,
contract and invoice numbers. The ‘photocopy’ will then
be available for a credit controller to send to a fax
machine automatically. Alternatively, the copy document
can be e-mailed to the customer. This will eliminate the
tedious search, photocopying and faxing that happens at
present.
It may also be useful to provide the customer with
access to the ‘photocopies’ in your internet site. In
this situation, the customer can view their account.
Then can select an individual invoice and navigate down
to view the copies of all the documentation associated
with the contract.
